1. Introduction

This Cookie Policy explains how CKvens AS (“we,” “us,” “our”) uses cookies and similar technologies on ckvens.com and within the CKvens application. Our use of cookies is governed by the Norwegian Electronic Communications Act (Ekomloven) Section 3-15, as updated, and the EU ePrivacy Directive (Article 5(3)), implemented in Norway through the EEA Agreement. Where cookies process personal data, the General Data Protection Regulation (GDPR) applies.

We obtain your consent for non-essential cookies through our cookie consent banner, which provides granular category options. Only strictly necessary cookies are placed before you give consent. You are never required to accept non-essential cookies to use our platform — we do not use cookie walls.

This Cookie Policy forms part of, and should be read together with, our Privacy Policy. Our Privacy Policy provides comprehensive information about all categories of personal data we process, our full legal bases, international transfers, security measures, data subject rights, and our role as controller and processor. In the event of conflict between this Cookie Policy and the Privacy Policy, the Privacy Policy prevails except on matters specific to cookies.

2. What Are Cookies?

Cookies are small text files stored on your device by your browser when you visit a website. They help websites remember user actions and preferences, such as login state or language settings, and allow us to analyze traffic and functionality.

This policy also covers similar technologies including:

Pixels and web beacons — tiny, invisible images that track page or email views.
Software Development Kits (SDKs) — embedded code that enables third-party functionality.

When this policy refers to “cookies,” we mean all of these technologies unless otherwise specified. Where any such technology stores or accesses information on your device and processes personal data, the same consent requirements apply.

3. Legal Basis for Cookies

Our use of cookies is subject to the Norwegian Electronic Communications Act. Section 3-15 of the Ekomloven requires informed, explicit consent before we place or access any information on your device and before storing or accessing information on a user’s device — unless the cookie is strictly necessary to provide a service you have explicitly requested or relies on other legal grounds. Legitimate interest is not used to consent for placing non-essential cookies.

Where cookies collect or process personal data, the GDPR applies to that processing. The legal basis for processing personal data through non-essential cookies is your consent. For strictly necessary cookies that process personal data, our legal basis is performance of our contract with you. Where this processing occurs outside a contractual relationship (e.g., before an account is created), we rely instead on our legitimate interests.

You are never required to accept non-essential cookies to access CKvens. All core platform functionality remains available if you decline optional cookies. Only certain non-essential features (preference memory, usage insights) may be limited.

You can change or withdraw cookie consent at any time by clicking the “Cookie settings” link in the footer of every page, adjusting your browser settings (see Section 7), or contacting us at contact@ckvens.com. Withdrawal takes effect immediately for future cookie deployment. Cookies already on your device remain until they expire or you delete them.

Retention

We retain records of your cookie consent for 5 years to demonstrate compliance with our consent obligations under Ekomloven §3-15 and the accountability principle in Article 5(2) GDPR, in line with our internal data retention schedule. Records include: date and time of consent, categories accepted/rejected, version of notice presented, and a pseudonymized identifier.

4. Types of Cookies We Use

Strictly Necessary Cookies

These cookies are required for the CKvens platform to function. They manage authentication, security, session continuity, and consent preferences. They cannot be switched off.

These cookies are exempt from consent because they are strictly necessary to deliver the service you have requested. Instead, these rely on our performance of a contract with you if necessary to provide the platform functionality you have requested. Where this processing occurs outside a contractual relationship (e.g., before an account is created), we rely instead on legitimate interests.

Strictly Necessary Cookies include:

Session ID - Maintains your authenticated session
Auth token - Verifies your identity after login
CSRF token - Prevents cross-site request forgery attacks
Cookie consent - Stores your cookie consent preferences

Functional / Preference Cookies

These cookies remember your preferences and improve functionality, such as language settings, timeline view preferences, or remembering previous login choices. These cookies are set only after you consent via the cookie banner.

Functional Cookies include:

User preferences - Remembers display and interface preferences
View state - Timeline/table view, sort orders, font sizes

Analytics / Performance Cookies

These cookies help us understand how users interact with our platform. This information helps us improve performance and user experience. We do not use analytics cookies to track you across other websites. These cookies are set only after you consent via the cookie banner.

We do not currently use analytics cookies on our platform. If this changes, we will update this policy and obtain your consent before deploying them.

Marketing / Advertising Cookies

CKvens currently does not use marketing or third-party advertising cookies. These cookies will be set only after you consent via the cookie banner.

4. Third-Party Cookies

The following third-party service may set cookies through our platform. We do not control these cookies:

Support Chat (Chatwoot)

The in-app support chat is provided by Chatwoot, a third-party service loaded from app.chatwoot.com. The chat widget does not load until you have explicitly accepted a privacy notice shown the first time you open it. Once accepted, Chatwoot stores a conversation token in your browser (cookies and local storage) so that your support conversation can continue across visits.

We have a data processing agreement (DPA) in place with Chatwoot requiring them to process data only on our documented instructions and to implement appropriate security measures. Please see their Privacy policy here: https://www.chatwoot.com/privacy-policy

5. Local Storage

The CKvens application uses browser local storage to maintain application state and preferences. In addition, when you open a case document, it is cached locally in your browser for up to seven days to enable faster reopening. This cached data, including document content, is stored only on your device and is not transmitted to our servers.

You can clear local storage at any time through your browser’s developer tools (Application > Local Storage > ckvens.com). Clearing this data will reset your preferences to defaults and remove any cached documents from your device.

On first visit the cookie banner lets you accept or reject each category of non-essential cookies. At any time: click “Cookie settings” in the footer to change your preferences. Changes take effect immediately for future cookies. Existing cookies remain until they expire or you delete them. Withdrawing consent is as easy as giving it — use the same cookie settings interface.

You can also manage cookies through your browser settings: view, delete, or block cookies from specific sites; block all third-party cookies; clear cookies when you close the browser; and clear local storage via developer tools (Application > Storage).

7. Data Retention

Cookies are stored for different periods depending on their purpose:

Session cookies: Expire when you close your browser.
Persistent cookies: Remain until they expire (typically 12 months) or you delete them.
Local storage: Persists until manually cleared or the application removes it.
